What is time slot management?
Time slot management (also called dock scheduling, slot booking or dock appointment scheduling) means every loading and unloading gets a booked time at a specific loading dock, instead of trucks showing up whenever it suits the carrier. Carriers book their own slots in a portal, within rules you define: opening hours, capacity per dock, goods types and how long each type of job may take.
The result is a steady inflow your staffing can handle, instead of morning peaks, queues at the gate and empty docks in the afternoon.
Rule of thumb: when carriers can arrive freely during the day, for inbound and outbound alike, arrivals bunch into peaks, and staffing has to be sized for those peaks. That typically puts 15 to 20 percent of staffing cost into peaks and waiting time, cost that disappears when deliveries are booked evenly across the day and carriers keep their slots.
The problem with phone, email and spreadsheets
Most warehouses and factories still coordinate deliveries with a mix of phone calls, email threads and spreadsheets. It works, but at a high price:
- Staffing is sized for the worst hour. When nobody controls arrivals, many trucks arrive at once, and you need people for the peak even when it is quiet.
- Waiting time and detention. Queuing trucks cost money: drivers' time, your yard space, and ultimately more expensive freight contracts.
- No data. Without bookings there is no plan to compare against. Who arrived on time? Which carrier disrupts the flow? There is no way to answer.
- Key-person dependency. The knowledge of who tends to arrive when lives in the heads of experienced staff, not in any system.
How time slot management works in practice
The full flow in six steps: who does what, where it happens and on which device. Steps 1, 2, 5 and 6 are the flow control (Flow Management); steps 3 and 4 are the arrival handling (Arrival Management).
Plan
- Facilities, loading docks and opening hours are set up
- Goods types and rules control what can be booked where and when
- Capacity is decided in the plan, not by the pressure at the gate

- The carrier books their own slot, but only within your rules
- Recurring runs are set up as series
- Confirmation and reminders go out automatically
Check in
- Picks their language, carrier and booking
- The mobile number is verified with an SMS code
- Safety rules are accepted in the driver's own language
Queue and call-up
- The driver joins the queue automatically and can wait in the cab
- The queue is shown in real time on a screen: how many are waiting and who is next
- The operator picks a dock and calls the truck in by SMS
Load or unload
- Staff tap done when loading or unloading is finished. That is the whole job.
- If something happened, damaged goods for example, a deviation is logged in the same view
Measure and improve
- Planned versus actual flow, hour by hour
- Arrival precision and detention per carrier
- Invoice control against the transport job actually performed
The follow-up feeds back into the plan. Data from step 6 adjusts the rules in step 1 and provides the basis for the next freight contract. The flow gets smoother with every cycle.
The key is delegation. As long as your staff book on behalf of the carriers, you have only moved the admin work. When carriers book for themselves, within your rules, it disappears.
Time slot management, WMS, TMS or a queue system: what is the difference?
The terms often get mixed up when you start looking for a solution:
- WMS (Warehouse Management System)
- Controls what happens inside the warehouse: locations, picking and stock. A WMS knows what is due to arrive, but does not control when the trucks come.
- TMS (Transport Management System)
- Controls the transports: procurement, route planning and freight cost. Seen from the freight buyer's side, not from the loading dock's.
- Queue systems and pagers
- Handle the symptom: trucks that are already waiting. Time slot management removes the cause by spreading arrivals before they happen.
- Time slot management
- Controls the meeting between carrier and loading dock: who comes, when, to which dock and for how long. It complements WMS and TMS, it does not replace them.
The arrival is half the job
Many systems stop at the booking. But the value is decided when the truck is actually at the gate: a booking does not help if the driver still queues at the desk, cannot read the signs, or is let in without anyone knowing who they are.
That is why digital check-in, queueing and call-up belong together with the time slot booking. The driver checks in on a tablet or computer in the reception area, in their own language, the booking and mobile number are verified, and your safety rules are shown and accepted with a documented record. Then the driver waits in the cab instead of at the desk: the queue is shown in real time on a screen, and the operator calls the next truck in by SMS when a dock is free.
The effect is twofold. Outward: a calmer yard, no misunderstandings at the desk, drivers who know their place in the queue. What to demand from a loading dock booking system
- Rule-based self-booking. Carriers must be able to book on their own without being able to book wrong: right dock, right goods type, right duration, no overbooking.
- Easy for the carrier. Booking must be faster than a phone call and learnable without training, or the carriers will keep calling.
- Driver communication in the driver's language. Many drivers do not speak the local language. Check-in and call-up must work in the driver's own language.
- Check-in, digital queue and call-up. The driver checks in on arrival, safety rules are shown and accepted with a documented record, and the next truck is called in contact-free by SMS when the dock is free. The status flow, arrived, at dock, done, gives both a real-time overview and history.
- Multi-site. The same system and the same rules across several facilities, including across borders and time zones.
- Analytics on planned versus actual. Punctuality, deviations and waiting times per carrier: the evidence for your next contract negotiation.
- Recurring bookings. Fixed weekly deliveries should be entered once, not every week.
- API. For connecting to WMS, TMS or ERP when you are ready, but the system must deliver value without integration too.
How do you build the business case?
The right question is not what the system costs but what today's disorder costs. The savings come from three directions: lower staffing needs when the flow is level and the peaks disappear, freed-up supervisor time when carriers book for themselves instead of calling, and better freight contracts when you can put deviation data on the negotiating table. Frequently asked questions
Does it work with ground-level loading areas rather than docks?
Yes. The principle is the same whether goods are received at loading docks, at ground level, in a yard area or by side loading: a booked time at a defined place.
Will carriers really book for themselves?
Yes, if booking is easier than calling. Carriers already meet time slot booking at more and more receivers and prefer a quick portal to a phone queue. The largest hauliers are driving the shift themselves.
Do we need to integrate with our WMS first?
No. Most start standalone: bookings, check-in and analytics deliver full effect without integration. An API connection can be added when the need arises.
